Job Summary

The Project Services Officer plays a vital role in various stages of project development from planning and construction to handover with a focus on procurement coordination, documentation management, and administrative support. He/she will be the main contact point and will ensure smooth delivery of Project Services.

Core Functions

1. Procurement – Planning and Design Stage

a. Coordinate schedule of meetings and preparation of minutes of meetings

b. Research on new materials, tools and technologies for the improvement of the projects

c. Receiving, organizing and sharing of project files and documents

d. Help his/her team in coordinating with other Menarco teams for pertinent project information dissemination and input

e. Help his/her team in coordinating with third-party suppliers and consultants for project requirements

f. Monitor completeness of tender documents prior to issuance to bidders.

g. Coordinates issuance of procurement minutes of meetings, bid bulletins, notices, invitations, etc.

h. Consolidate technical evaluation for the procurement of designers and consultants.

i. Coordinate with other departments to make sure that activities as per agreed tender schedule are completed as planned.

2. Procurement – Construction Stage

a. Conduct regular inspection on site to make sure that vendors deliver materials / services as per award.

b. Coordinate with the construction management group and the warehouse for the inventory and monitoring of owner supplied materials.

c. Review and confirm completeness of vendors’ billings.

3. Handover Management

a. Assist in ensuring that the units for handover are ready.

b. Assist in making sure that the required documents for handover are correct and complete.

c. Other assignments that may increase knowledge, under breadth of experience, and build on values of team members.

4. Administrative Tasks

a. Coordinate with various team members, ensuring that individual tasks and key deliverables (“rocks”) are completed on schedule. 

b. Provide timely and appropriate support to the Project Services team, particularly in relation to procurement activities for new projects.

c. Conduct research on materials and data relevant to the organization’s project development objectives—such as emerging building technologies, sustainability and wellness trends—and verifying their alignment with the specific goals and requirements of each project.

d. Collaborate with Procurement Specialist on all administrative and project management purchases ensuring a smooth procurement process.
